3. Purposes for Processing Personal Data

Lönnström Art Museum’s newsletter, booking register, invitation list, and stakeholder communications.

4. Description of Data in the Register

Newsletter: Recipients of the newsletter of the Lönnström Art Museum.
Data collected: name, email.

Booking register: Customers who have booked a tour or a visit.
Data collected: name, email, phone number, billing information, type of service requested, time of visit.

Invitation list: Persons invited to openings or other events arranged by the museum.
Data collected: name, address, email, organisation, position within the organisation, affiliation to the museum.

Call for artists (Lönnström Project): Artists participating in the open call
Data collected: name, address, email address, phone number, content of the application.

Stakeholder communications: Partners, cultural operators, media representatives.
Data collected: name, address, email, organisation, position within the organisation, address, phone number, affiliation with the museum.

All data is obtained with the individual’s consent and/or from reliable public sources.

5. System for the Maintenance of Register Data

6. Groups to which Personal Data have been or will be Disclosed

The data in the register has not and will not be disclosed to any third parties.

The contents of the Open call Register will be disclosed to invited external evaluators of applications in addition to the limited staff of the Lönnström Art Museum.

7. Data Retention Periods

Newsletter: Personal data is retained in the register for as long as the person in question wishes to remain subscribed to the newsletter. Subscribers can unsubscribe at any time via a link in the newsletter, or by sending an unsubscribe request to the contact person.

Booking register: The data is retained in the booking register until the service in question is delivered and invoiced. At the end of the customer relationship, the personal data is erased after a period of maximum two years.

Invitation list: Data subjects can opt out of the register by sending a request to that effect to the contact person.

Stakeholder communications: Data subjects can opt out of the register by sending a request to that effect to the contact person.

Open call: The register is deleted after the project has been selected. The Lönnström Art Museum archives the applications. You can submit a request for removal of your own application from the archive to the contact person of the register.

8. Protection of the Register

Data in the register is stored in the Gruppo address information system used by Lönnström Art Museum sr. Only designated persons have access to the system. Third parties do not have access to register data.

Data stored in the register is kept strictly confidential, and the register is protected from third party access with usernames and passwords.

The network and equipment in which register data is stored are protected by firewalls and other technical measures. The equipment is located in a locked and controlled facility.

The manual register (booking calendar) is kept in a locked room, accessible only to authorised museum staff.

9. Right of Access to Data

Every person in the register has the right to check his/her data stored in the register and to demand that incorrect data be rectified or incomplete data be completed. If a person wishes to check or request a correction of his/her data, the request must be sent in writing to the Data Controller. The Data Controller may ask the requester to prove their identity.
